Every clinical entry is assigned a unique, auto-incrementing Case Number to ensure audit compliance. The system generates these IDs based on the activity type and the calendar year:

  • Format: [PREFIX]-[6-DIGIT NUMBER]-[YEAR] (e.g., SURG-000042-2024).
  • Logic: When you start a new entry, the app calculates the next available number by counting your existing logs for that year. It then performs a real-time uniqueness check against the database to prevent any duplicates.

We integrate the international standard for grading surgical complications. When logging a case outcome, you can select Grades I through V to maintain an audit-ready complications register.

  2. When adding a case, selecting that diagnosis will automatically trigger a "Template Found" notification.
  3. Applying the template instantly populates the fields, which you can then customize for the specific patient.

The Case Lifecycle & Status Tracking

MedLog Pro tracks the "Trust Level" of every log through a formal communication lifecycle:

  • Draft (Grey): Locally saved on your device. Only you can see this. Use this to record details quickly during rounds and finalize them later.
  • Submitted (Yellow): Uploaded to the cloud. Your selected supervisor can now see this in their "Pending Review" list. The log is locked for editing to ensure data integrity.
  • Approved / Finalized (Green): Verified by your supervisor. These cases are officially added to your logbook and contribute toward your Competency (EPA) targets and CME credits.
  • Sent Back (Orange): Your supervisor has requested changes. You will receive their feedback, and the log is unlocked so you can edit and resubmit it.
  • Rejected (Red): Denied by the supervisor. These entries are archived but do not count toward training milestones or volume requirements.
Digital Sign-off Ecosystem

The verification loop ensures institutional validity:

  • Registration: If your supervisor isn't listed, they must register their own account with the 'Supervisor' role first.
  • Selection: During case entry, select your supervisor from the cloud-synced list.
  • Sync: Once you upload your case to the cloud, it appears in your supervisor's "Pending Review" list.
  • Review: The supervisor reviews your logs and media attachments.
  • Status: Cases change from "Pending" to "Verified" (Green Badge), locked for further editing to maintain audit integrity.
